Aon‘s Privacy Policy

We may also collect sensitive information about you such as criminal convictions or health information in relation to life, health, professional liability and workers compensation insurance or employee benefit programs.

When you request services, we ask that you provide accurate and necessary information that enables us to respond to your request. In doing so, you consent to our collection, use, storage and disclosure of this information to appropriate third parties for the purposes described in this Statement.

While the personal information we collect may come directly from you, it may also be provided by our affiliates or other third parties (such as employers, insurance companies, insurance brokers or agents, credit organizations, motor vehicle and driver licensing authorities, financial institutions, medical professionals, etc.). If you provide personal information about other individuals (such as employees, dependents, etc.), you must obtain their consent prior to your disclosure to Aon.

Access our Websites through Mobile Devices

If you access our websites on your mobile telephone or mobile device, we may also collect your unique device identifier and mobile device IP address, as well as information about your device's operating system, mobile carrier and your location information.

When you provide us your mobile device phone number as your contact phone number, you consent to the use of your mobile device phone number for the purposes identified in this Statement. If you choose to receive notifications from us on your mobile device (e.g. text notifications), you also consent to the use of your mobile phone number for that purpose.

How does Aon use your personal information?

The personal information we collect may be used to:

  • provide information and services as requested by you;
  • determine eligibility and process applications for products and services;
  • provide information and services as requested by clients;
  • understand and assess clients' ongoing needs and offer products and services to meet those needs;
  • carry out client communication, service, billing and administration;
  • administer claims;
  • conduct data analysis;
  • obtain and update credit information with appropriate third parties, such as credit reporting agencies, where transactions are made on credit;
  • execute monitoring and training;
  • develop new services;
  • market products and services (subject to appropriate consent); and
  • conduct processing necessary to fulfill other contractual obligations for the individual.

With your consent, we may also use your personal information for additional purposes.

Does Aon disclose your personal information?

Business Partners

We disclose personal information to business partners that are necessary to provide our products and services. Examples include:

  • banking and finance products - credit and fraud reporting agencies, debt collection agencies, insurers, reinsurers, and managed fund organizations for financial planning, investment products and trustee or custodial services in which you invest
  • insurance broking and insurance products - insurers, reinsurers, other insurance intermediaries, insurance reference bureaus, medical service providers, fraud detection agencies, our advisers such as loss adjusters, lawyers and accountants and others involved in the claims handling process

We do not rent, sell or otherwise disclose personal information about our online visitors with unaffiliated third parties for their own marketing use.

Authorized Service Providers

We may disclose your information to service providers we have retained to perform services on our behalf. These service providers are contractually restricted from using or disclosing the information except as necessary to perform services on our behalf or to comply with legal requirements.

Legal Requirements and Business Transfers

We may disclose personal information (i) if we are required to do so by law or legal process, (ii) in response to law enforcement authority or other government official requests, (iii) when we believe disclosure is necessary or appropriate to prevent physical harm or financial loss, (iv) in connection with an investigation of suspected or actual illegal activity or (v) in the event that Aon is subject to a merger or acquisition to the new owner of the business. Disclosure may also be required for company audits or to investigate a complaint or security threat.

Does Aon transfer your personal information across geographies?

Aon may transfer certain personal information across geographical borders to Aon entities or service providers in other countries working on our behalf in accordance with applicable law.

By providing us with your information or using our websites, you consent to the collection, international transfer, storage, and processing of your information. These transfers are governed by European Union (EU) standard contractual clauses, the U.S./EU Safe Harbor Framework or equivalent data transfer agreements to protect the security and confidentiality of personal information.

Upon written agreement with a Controller-client, Hewitt Associates LLC (d/b/a) Aon Hewitt and a subsidiary of Aon, will rely upon certification with the U.S.-EU Safe Harbor Framework and the U.S.-Swiss Safe Harbor Framework established by the U.S. Department of Commerce. Such certification is limited to clients and information systems of Aon Hewitt LLC’s human resources business process outsourcing service.

Hewitt Associates LLC complies with the U.S.-EU Safe Harbor Framework and the U.S.-Swiss Safe Harbor Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information from European Union member countries and Switzerland. Hewitt Associates LLC has certified that it adheres to the Safe Harbor Privacy Principles of notice, choice, onward transfer, security, data integrity, access, and enforcement. How can you access and update your information?

Aon takes reasonable steps to keep your personal information accurate and complete. You can access or update your personal information in the following ways.

Profile

If you have created a profile or account on one of our websites, you can update your contact information after you log into your account.

Newsletters

If you request electronic communications, such as an e-newsletter, you will be able to unsubscribe at any time by following the instructions included in the communication.

Mobile Devices

If you previously chose to receive push notifications on your mobile device from us but no longer wish to receive them, you can manage your preferences either through your device or the application settings. If you no longer wish to have any information collected by the mobile application, you may uninstall the application by using the uninstall process available on your mobile device.

Cookies

As described in our Cookie Notice, you can adjust your browser settings to accept or refuse cookies.

Email

Contact us at the e-mail or postal address listed in the "Contact Us" section at the bottom of this Statement. Please include your current contact information, the information you are interested in accessing and your requested changes. We will provide you access to the personal information requested, subject to reasonable limitations provided by law, unless it infringes on the privacy of other individuals.

If we do not provide you with access, we will provide you with the reason for refusal and inform you of any exceptions relied upon.

Does Aon have security measures in place to protect your information?

Aon has implemented reasonable physical, technical and administrative security standards to protect personal information from loss, misuse, alteration or destruction.

Our service providers and agents are contractually bound to maintain the confidentiality of personal information and may not use the information for any unauthorized purpose.

Does Aon collect information from children?

Our websites are not directed to children and we do not knowingly collect personal information from children on our websites.

Our commitment

This is our Privacy Policy and it sets out how we collect, store, use and disclose your personal information. We recommend that you read it carefully.

You do not have to provide us with your personal information, but if you do not do so we may not be able to provide you with our products or services.

The information MetLife collects

We collect the information necessary for us to provide you with the products and services you have requested from us, and to manage your claims. 


We will only collect your sensitive information if you have provided us with consent to do so. Where practicable, we will give you the option of interacting with us anonymously.

The information we collect and hold generally includes your name, address, date of birth, and contact details (such as your phone number, fax number and/or email address).

However, we may also collect and hold other information required to provide services or assistance to you, including your gender, employment, details of your previous insurances, sensitive information (such as health information and criminal records), and claims history.


How MetLife may collect your information
We may collect your information in various ways, including via telephone, our website, hard copy forms or email. Whenever you choose to deal with us directly, we will where possible collect this information directly from you.

On all occasions, your information is collected, held, used and disclosed by us in accordance with this Privacy Policy.

We may also seek to collect information about someone else from you (for example, if you request a product or service jointly with another person). However, you must not provide us with information about another person unless you have clear consent from that person to do so and let them know about this Privacy Policy and where to find it.


What about sensitive information?

Some personal information we hold is 'sensitive' and subject to greater restrictions.
Sensitive information relates to a person's racial or ethnic origin, political opinions or membership of political bodies, religious beliefs or affiliations, philosophical beliefs, membership of a professional or trade association or trade union, sexual preferences or activities, criminal record, state of health and medical history.

Some sensitive information is usually needed for applications for life insurance products and to manage claims on those products. It is MetLife’s policy that sensitive information will be used and disclosed only for the purposes for which it was provided, unless the customer agrees otherwise or the use or disclosure of this information is allowed by law. Documents asking for sensitive information will explain this.


How MetLife uses your information 

We only use your information for the purpose for which it was provided to us, related purposes and as permitted by law. Such purposes include:

  • responding to your enquiries; 
  • providing you with the assistance you requested of us, our products and services (for example, processing requests for quotes, applications for insurance, underwriting and pricing policies, issuing you with a policy, managing claims, processing payments, etc);
  • maintaining/administering your account and policies and processing payments you have authorised; 
  • processing your survey or questionnaire responses for the purpose(s) notified in the survey or questionnaire (if you have chosen to participate in such); 
  • for market research so that we can better understand our customers' needs and tailor our future products and services accordingly; 
  • quality assurance and training purposes; and 
  • any other purposes identified at the time of collecting your information.
However, we will only use your sensitive information for the purposes for which it was initially collected, other directly related purposes or purposes to which you otherwise consent.

If you are not a customer (for example, if you are a medical practitioner, investigator, expert, claimant or other third party), your information will only be used for the specific purpose or claim for which it was provided to us, unless you have consented to other uses.

On occasion, we, and our related companies, may use your personal information to provide you with information about the products and services we offer. We will, on request, provide you with access to the information we hold about you unless otherwise required or permitted by law. We will notify you of the basis for any denial to access your information. We may ask you to complete a ‘Personal Information Access Request Form’ which can be found at www.metlife.com.au/privacy and may charge you a service fee for retrieving and sending the information to you.


Anonymity and Pseudonymity

If you are subject to the Australian privacy regime, you have the option of not identifying yourself or of using a pseudonym unless we are required or authorised under Australian law or a court/tribunal to identify you, or it is impracticable to deal with you anonymously or by a pseudonym.


What if you have a complaint? 

If you wish to make a complaint about a breach of this Privacy Policy or the Australian Privacy Principles of the Privacy Act 1988(Cth), you can contact us using the contact details below. You will need to provide us with sufficient details regarding your complaint, as well as any supporting evidence and/or information.

We will refer your complaint to our Privacy Officer who will investigate the issue and determine the steps we will undertake to resolve your complaint. We will contact you if we require any additional information from you and will notify you in writing of the determination of our Privacy Officer.
